Inviting team members
Invite teammates by email magic link. What roles do, how the seat gate works, and the difference between billable and free invites.
Inviting team members
Add teammates from Settings → Team → Invite. Type one or more emails, pick a role, and send. Invitees get an email with a magic-link sign-in. They land in your workspace as soon as they click through.
What you set per invite
Email address. Required. We do not enforce a domain match against your workspace, so you can invite contractors and outside collaborators on any email.
Role. One of admin, agent, or light_agent. There is exactly one owner per workspace and you cannot invite straight to owner. To make someone owner, invite as admin first and then transfer ownership.
Optional message. A short note prepended to the invite email. Useful for "this is the support tool we talked about, ping me if anything looks off."
Seats and the invite gate
Ochre charges per billable seat: owner, admin, and agent. Light agents are free and do not count.
When you invite a billable role, two things can happen:
- You have a free seat. Invite goes out, invitee accepts, seat is filled, no plan change.
- You are at capacity. Invite stays pending until you either remove someone to free a seat, or accept an additional seat — which charges a prorated amount and bumps your renewal seat count.
Inviting a light agent never hits the seat gate. There is no upper limit on light agents.

Roles in one paragraph
- Owner: full control, billing, danger zone. One per workspace.
- Admin: manage settings, integrations, team. No billing.
- Agent: reply to conversations, manage tags and statuses. No settings.
- Light agent: read-only. Can read and leave internal notes; cannot reply, cannot edit settings. Free.

Bulk invites
Paste a list of emails separated by commas, semicolons, or newlines. Pick one role for the batch. We deduplicate against existing members and pending invites, so re-pasting the same list is safe.
If the batch would exceed your seat count, the system invites everyone it can fit, queues the rest as pending, and shows you a summary.
Resending and revoking
Pending invites can be resent any time. Each resend mints a fresh magic link. Revoking a pending invite is instant — the previous link stops working.
Removing a member
To remove a current member, go to Settings → Team, click the member, then Remove. Their open conversations get unassigned and are routed back through the queue. Their internal notes and historical actions stay intact and attributed to them. If they were billable, the seat is freed at the next renewal.
You cannot remove the owner. Transfer ownership first — see transfer-ownership.
Common questions
Can I invite someone with a personal email? Yes. We do not block free-mail domains.
Can the same email belong to two workspaces? Yes. Sign-in is per-email; workspace switching is in the user menu.
Can I auto-provision team members from my IdP? SSO and SCIM provisioning are available on request for Scale-tier customers. For most teams, paste-the-list bulk invite is the fastest path. If you need IdP integration, email us at hello@ochrehq.com.
